Cancellation Policy & Disclaimer

A cancellation number is issued and is required for any disputes.

  • Sedan/SUV:  Cancellations are not charged if notification is made in excess of 24 hours before the pickup. On trips where the pickup/drop offs are more than 1.5 hours from the service office, the cancellation must be made 48 hours before required dispatch time. Not giving required notice may result in cancellation charges up to the full rate for the trip.
  • Late/Delay:  Airport picks have a 30-minute grace period. Wait time is one dollar per minute after that. For Non-Airport flights, there is a 15-minute grace period. Wait time is one dollar per minute after that. Vans and SUVs have a 10-minute grace period.
  • Motor Coaches, Shuttle Buses, Vans and Specialty Vehicles – Cancellations must be made 14 days in advance of the pick-up. A 50% deposit must be received 3 weeks prior to the trip or service.
  • Affiliate Trips: For trips booked through our affiliate network, cancellation policies differ by vendor and/or location. All fees incurred are the responsibility of the booker and/or passenger for each reservation. In some cases, up to 48 hours is required for no fees to be incurred.
  •  Please note, you, your clients, and your customers are responsible for reading our cancellation policy.

NO SHOW/CANCEL ON ARRIVAL: Failure to cancel a trip in accordance with the cancellation guidelines will be subject to a charge up to the full rate for the trip, plus any additional fees applicable. All vehicles will be paid for in full prior to leaving the pickup location. Smart City Chauffeur prior to leaving will result in a No-Show charge.

ADDITIONAL CHARGES: Smart City Chauffeur reserves the right to provide services will be paid for by the customer. These charges include but are not limited to: Toll, Parking, permits, luggage carts, or other items requested/purchased on your behalf. These fees may be included in your totalled.

LATE NIGHT FEE: Any pick-up between 12:00AM and 5:30AM will be charged a Late Night Fee. Also known as After Hours or Early Morning Fee.

HOLIDAY SURCHARGE/RATE: Any trip starting on a Holiday (see list) will have a Holiday Surcharge or rate. Current Holidays (subject to change): New Year’s Day, Presidents Day, Easter Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Day and New Year’s Eve.

PROMOTIONAL CODES: Promotional codes for specific services and promotional codes may not be used on corporate pricing unless specified.

LOST AND FOUND: Smart City Chauffeur and its affiliates will make a pre-authorization on your credit or debit card in the days leading up to your trip, to ensure funds are available. If sufficient funds are not available, your reservation may be cancelled or delayed. If your reservation is cancelled, through and any remaining monies will be released by your credit card company/bank. Please note that while doing a debit card, Smart City Chauffeur and its affiliates will not be held responsible for any overdraft fees incurred. No refunds will be given to lost items where available, instead of a debit card.

LOST OR DAMAGED ITEMS: Smart City Chauffeur and its affiliates are not responsible for items that are left in the vehicle, lost or damaged. All items are lost at the discretion of the driver. We will help you in searching and looking for returning lost items if found. Found items will be held for no more than 30 days after being found in a vehicle.

ADDITIONAL STOPS: Additional stops, such as stops for picking up food, beverages, or additional locations for stops, waiting time, parking, tolls, parcel fees, etc. may apply.

HOURLY PRICING: All hourly trips are billed from Garage (Newburgh, or Brooklyn) to Garage unless specified elsewhere, vehicle travels back to location is departed from. Prices are estimated based on typical travel time and may be higher due to delays from construction, weather or other events beyond our control.

WAIT TIME: If asked, Smart City Chauffeur will suggest an appropriate pick-up time based on the time needed to travel to your destination, or to arrive an appropriate amount of time early for your departure flight, if a passenger/booker requests their own pick-up time that differs from our recommendation, Smart City Chauffeur will not be held responsible for missed flights or late arrivals due to traffic delays beyond what the customer is requested.

TOLLS/PARKING/PERMITS: All tolls, parking charges, entrance fees or permit fees incurred by Smart City Chauffeur or its affiliate, in order to complete a garage-to-garage round trip via the most efficient route will be passed thru to the billable parties and added to a customer’s invoice. If quoted, those tolls and fees are estimates only and subject to change.

CHARGE TO CARD: Smart City Chauffeur and its affiliates will result in a recalculation of the fare and may be subject to change to the timely after the vehicle has been dispatched may result in additional charges.

DEPOSITS: A 50% deposit is required for all motorcoaches/specialty vehicles at time of booking and full payment 3 weeks prior to the trip / services. Cancellation policy is as stated below, with any permits and non-refundable tickets additional to already acquired.

CHARGE BACK FEES: will be assessed an administration fee of $5.00 or whichever is greater per transaction plus any fees incurred by our bank.

ADMINISTRATION FEES: Any changes to your reservation will incur an administration fee of $5.00, or the total rate, whichever is greater.

DISCLAIMER: Smart City Chauffeur and its affiliates cannot be held responsible for any delays as a result of traffic, emergency road closures, adverse weather conditions or acts of God that are beyond our control.
